Create and maintain subscription types.

Subscription types introduction

What kind of subscriptions do you want to offer to your customers? Sessy supports recurring and non-recurring subscriptions. Click on the plus icon to add a subscription, or click on an existing subscription to edit or remove it. In the pop-up screen you can specify:

  • Name: Add a short name that is easy to recognize (e.g. 3x per week)
  • Description: Give a full description of what is included in the subscription and what is not, this will be shown the user when subscribing
  • Recurring: Whether the subscription is recurring or not. Recurring subscriptions are billed every month, while a non-recurring subscription is paid only once
  • Visible: Indicate if the subscription should be visible to your customers. You can use this setting to have certain subscription types that can only be assigned by employees (e.g. for instance to create a subscription type specifically for employees)
  • Experience required: Whether experience is required for the subscription type (see more details below)
  • Yearly: Whether you want to allow members to pay per year, typically for a discounted price (recurring subscriptions only). Note: The subscription will automatically end after the year and members will need to purchase a new subscription after that
  • Cost: In case of a recurring subscription this is the monthly subscription cost. For a non-recurring subscription this is the total cost
  • Cost per year: The cost of the subscription per year (only applicable if “yearly” is enabled)
  • Tax rate: Select the tax rate (or rates) that apply
  • Validity in days after purchase: For non-recurring subscriptions, specify the number of days the credits should be valid (after this any remaining credits will be removed). Leave the field empty if credits should be valid indefinitely
  • Session limit: In case of a recurring subscription enter the max number of sessions a member can attend in a week. In case of a non-recurring subscription enter the total number of sessions included in the subscription
  • Session limit period: In case of a recurring subscription enter whether the session credits should renew every week or every month
  • Session types: Select the session types that should be included in/ excluded from the subscription. Members will be able to see excluded session types if these are scheduled in a calendar they have access to but they won’t be able to register for them (unless they can pay for the session separately, see more details for single session purchases under the section Calendar of this support site)
  • Schedules: Select the calendars should be in-/ excluded from the subscription. Excluded calendars will not be visible to members in their app (they can only select from a list of included subscriptions)

Add/ change subscription type

Options in the subscription types section on the “Settings” page:

  • Add a subscription type by clicking on the “Plus” icon
  • Change an existing subscription type by clicking on the row in the table
  • Roll out settings to active member subscriptions with Bulk change (see below)

Adding or changing a subscription type will open a dialog where you can:

  • Define the specifics of the subscription (see descriptions above)
  • Delete a subscription type by clicking on “Delete”
  • Once finished click on “Save”, or on “Cancel” to disregard the changes

Make sure to include a clear description so your (potential) members understand what’s included/ excluded in your subscriptions.

Stripe synchronization

If you are using Stripe for payment collection, the Sessy app synchronizes subscription types with Stripe, so customers can only subscribe to the latest subscription types you have defined. Don’t make changes in Stripe directly, this can cause unexpected issues and synchronization issues.

Never change a Stripe ‘Product’. Make the changes to subscription types in Sessy and the changes in Stripe will be processed automatically.

Updating existing subscriptions

When you edit a subscription type and click Save, only the subscription type definition is updated (the template in your configuration). This does not automatically change subscriptions that members already have.

  • New subscribers see and receive the updated subscription type.
  • Existing active members keep the subscription details stored on their account until you roll out changes separately (see below).

If you only want to change how the subscription works for new sign-ups—for example a new price or description—saving the subscription type is enough.

Saving a subscription type does not notify members. If you later roll out changes to active members, communicate those changes clearly yourself.

Bulk changes to active subscriptions

Use Bulk change in the subscription types section on the Settings page when you want to copy selected settings from a subscription type to every active member subscription of that type.

This is separate from editing and saving the subscription type: first save your changes to the type itself, then use bulk change to apply them to existing members.

How to use bulk change

  1. Save your changes to the subscription type (click the row to edit, then Save).
  2. In the Bulk changes to active subscriptions group, click Bulk change.
  3. Choose the subscription type to update.
  4. Tick only the properties you want to copy to active members. Each row shows the value members will receive.
  5. Click Bulk change to apply. You must select at least one property.

Only members with an active subscription of the chosen type are updated. Ended subscriptions are left unchanged. Members are not sent a confirmation message.

Properties you can update

Property Notes
Name Display name on the member’s subscription
Price Monthly or yearly price (depending on how the member pays). Leave unchecked if members should keep their current price (for example grandfathered pricing). If selected and you use Stripe, billing may be updated for members on Stripe
Locations / calendars Which calendars are included or excluded
Session types Which session types are included or excluded
Session credit limit Maximum sessions per week or month
Session credit period Whether credits renew weekly or monthly. Changing this rebuilds the member’s session count map from their booking history for that subscription
Tax rate Tax rates applied to the subscription

Tips

  • To update locations or session types only without changing prices, tick those properties and leave Price unchecked.
  • Inform members before rolling out changes, especially price increases.
  • If bulk change is disabled, add at least one subscription type first.

When rolling out changes to active members, inform your members in advance—especially for price changes.

Deleting subscription type

Deleting a subscription type cannot be undone.

Some considerations for deleting subscription types.

  • Deleting a subscription type does not impact existing active subscriptions, these will remain unchanged
  • Once a subscription type is deleted, it cannot be recovered. Are you sure you don’t need it anymore?

Experience required

If new members need to complete an onboarding or new joiner course before they can subscribe to your ’normal subscriptions’, you can enable the option “Show experience required message”. When this setting is enabled, all subscription types that are marked as “Experience Required” (see above) will be hidden. Click on “Settings” to customize the message you want to show to the new members when they first sign up.

Pausing subscriptions

Subscriptions can always be paused by your employees (applicable only to recurring subscriptions with a montly payment plan). If you also want your members to be able to pause subscriptions for themselves through the members app, enable the setting “Allow members to pause subscriptions”. Click on “Settings” to open the pause setting dialog with options to:

  • Define the minimum pause duration in days
  • Define the maximum pause duration in days
  • Define the minimum number of days between the previous and next pause These settings can help avoid misuse by your members. Choose the settings that best align with your company.

Sign-up preferences

In the same Subscription types section on Configuration, Sign-up preferences controls which optional checkboxes new members see when they subscribe (app or web). Click Settings to turn each option on or off:

  • Newsletter — the member wants to receive your newsletters
  • Allow use of photos — photos or videos of the member (for example during sessions) may be used
  • Visible on leaderboard — the member may appear on workout leaderboards
  • Health-related data consent — the gym may store health-related information (for example injuries or restrictions in notes and attachments)
  • Note — an optional free-text field the member can fill in at sign-up

Members can change newsletter, photos, leaderboard, and health-data consent later on their Account page. Health-data consent is always available there, even if you did not show the checkbox at sign-up.

Enable Health-related data consent if staff store injuries, physical restrictions, or other medical context in member notes or attachments.

Under GDPR, that is special-category (article 9) data. The gym is the controller; Sessy is the processor. You need explicit, optional, withdrawable consent — not a pre-ticked box, and not a paper waiver instead of an in-app choice. Use this preference so members can consent in Sessy when they join, and so staff can see who has (and has not) agreed.

Turn it on when coaching or admin work includes injury notes, medical restrictions, physio context, or similar files on the member profile. Enable it before you go live if that is part of how you operate.

Leave it off when you never store that kind of information in Sessy (no injury notes or medical attachments). Staff should then keep health details out of notes.

How it works:

  • At sign-up the checkbox appears only if you enabled this preference. It is unchecked by default.
  • Members can grant or withdraw consent at any time in their account.
  • On the member profile, staff see a warning if this preference is enabled and consent is missing. They can record consent after the member has explicitly agreed.
  • If a member withdraws consent, staff get a dashboard notification to review notes and attachments. Sessy does not delete notes automatically — they often mix health and non-health content. Remove health-related text and files yourself if they are no longer allowed.
